H.W. Kaufman Group is seeking a detail-oriented and proactive Legal Assistant to support our in-house legal, compliance, and vendor management team. This role will serve as a central point of intake for legal and compliance requests across the organization, helping to triage matters, route assignments, track status, and support the efficient handling of a broad range of legal and operational work.

 

The Legal Assistant will assist with drafting, reviewing, editing, and organizing documents such as contracts, non-disclosure agreements, policies, letters, and other legal or compliance-related materials. This role will also support litigation matters, subpoena responses, intellectual property portfolio maintenance, HR investigations, and information security matters. The ideal candidate is highly organized, exercises sound judgment, communicates effectively with internal stakeholders, and handles confidential information with discretion.

Responsibilities

  • Serve as an initial point of contact for legal, compliance, vendor management, and related requests from internal stakeholders across the company.
  • Conduct intake for new matters by gathering relevant background information, documents, deadlines, and business context.
  • Help triage and route assignments to the appropriate attorney, team member, or functional area based on urgency, subject matter, and workload.
  • Track legal and compliance matters from intake through resolution, including maintaining logs, status reports, deadlines, and follow-up items.
  • Monitor open assignments and follow up with internal stakeholders and team members to support timely completion.
  • Draft, review, edit, format, and proofread legal and compliance documents, as appropriate to experience and under supervision, including NDAs, routine contracts, policies, letters, notices, templates, and related correspondence.
  • Support contract and vendor-related workflows, including preparing documents from templates, coordinating review, tracking revisions, and maintaining organized records.
  • Assist with policy administration, compliance projects, internal requests, and other legal operations initiatives.
  • Support litigation and dispute matters by organizing files, collecting records, assisting with document preservation, and coordinating subpoena responses and outside counsel requests.
  • Assist in maintaining the company’s intellectual property portfolio, including tracking filings, renewals, deadlines, and related correspondence.
  • Support HR investigations and information security matters by organizing materials, tracking action items, coordinating logistics, and maintaining strict confidentiality.
  • Conduct basic legal and factual research and summarize information for the legal team as requested.
  • Maintain accurate and organized legal files, templates, trackers, and departmental records.
  • Provide administrative and project support to the General Counsel and other members of the legal/compliance team, as needed.
  • Handle all matters with professionalism, discretion, and a high degree of confidentiality.

Qualifications

  • Associate’s degree, bachelor’s degree, paralegal certificate, or equivalent relevant experience preferred.
  • 2–5 years of experience in an in-house legal department, law firm, compliance function, contract administration role, or similar professional environment preferred.
  • Strong drafting, proofreading, and document editing skills.
  • Strong organizational and time-management skills, with the ability to manage multiple matters and deadlines simultaneously.
  • Ability to exercise sound judgment, prioritize work, and escalate issues appropriately.
  • Strong written and verbal communication skills.
  • Experience supporting contracts, compliance, investigations, litigation, or legal operations preferred.
  • High level of professionalism, discretion, and ability to handle sensitive and confidential information.
  • Proficiency in Microsoft Office and comfort working with tracking systems, document management tools, and e-signature platforms.
  • Detail-oriented, dependable, and able to work effectively both independently and collaboratively.
